Most of you did the math after my last post.
You know your time is likely worth $100+ an hour…
And yet, every week you’re still doing things like chasing failed payments, making graphics in Canva, handling customer service emails, and the list goes on.
Blah.
The growth stuff, the things that would actually move the needle, keeps getting pushed to “next week.”
If that cycle doesn’t break, a year flies by and you’re in the exact same spot.
Just more tired.
So. I built a ChatGPT prompt for a client to fix exactly this.
And it worked so well I had to share it with you.
(I even ran through it myself and ended up moving things around on my own calendar — it’s that good.)
Copy it, drop it into ChatGPT, and spend 3 minutes going through it.
It’ll help you figure out:
- what your time is actually worth
- where you’re leaking hours (and money)
- what you should be focused on instead

Act as a ruthless Business Efficiency Consultant for [type of business – ex: Boutique Gym Owner / Online High-Ticket Coach / Hybrid Trainer]
Current Annual Revenue: [e.g., $80,000]
Revenue Goal: [e.g., $250,000]
Hours I Want to Work Per Week: [e.g., 30 hours]
The Task: I am going to paste my current to-do list below.
First, calculate my Target Hourly Rate based on my Revenue Goal and my desired workweek. Before you provide the final audit:
Estimate the time required for each task on my list based on typical fitness operations.
Ask me 1-2 clarifying questions if you need more data to be 100% accurate on my specific ‘Time Leak.’
Once I answer, provide:
- The Category Map: Group my tasks into $15/hr (Admin/Busy Work), $50/hr (Maintenance/Coaching), and $500/hr (Growth/High-Level Strategy).
- The ‘Burning’ Receipt: Show me the total monthly ‘Opportunity Cost’ I am losing by doing tasks that fall below my Target Hourly Rate.
- The Priority Blueprint: Reorganize my entire list into a High-Impact Action Plan. Prioritize the $500/hr tasks first, then the $50/hr.
- The Automation Blueprint: Identify the top 1-3 tasks I should move into a system like Coach Engine immediately to reclaim 10+ hours this week.
Here is my current list:
[ADD YOUR TO-DO LIST IN BULLETS HERE. Provide a detail or two as needed so it’ll give you a better output. DON’T OVERTHINK IT!]

You might notice pretty quickly that you don’t actually have a “time” problem.
It might be something else entirely. 👀
Pretty eye-opening, right?
