Your Step-by-Step Systems Guide

Ready for something ninja?

How does a step-by-step checklist for HOW TO CREATE your systems sound!? 🙂

Well, it’s all in this email, so keep on reading!

SYSTEMS = FREEDOM.

(And last week, I went over why systems are EVERYTHING for your business. Catch up HERE if you missed my post. Also, I shared my updated list of systems for 2020 … you can snag that HERE.)

OK … so that’s a pretty big list of systems, right? Which may have you wondering …

HOW do I even get started with creating a system?

Just like everything – you have to take it one step at a time.

It starts with having a REASON for creating a system – and a goal.

What’s the purpose of the flow? What problem are you trying to solve?

Let’s take the “Follow-Up System” as an example.

Example … let’s say you want to dial in your flow so no prospects slip through the cracks.

Not only that, you need to know exactly how you’re going to follow-up, what you’re going to say, who is going to say it (and WHEN), where people are in the flow, and how well your process is actually working.

When your follow-up system is NOT dialed in … it means there are people who need your help that won’t get it … AND lost money right out of your pocket.

Not today! Not on my watch!

So how do you create a follow-up system that covers the WHO, WHAT, WHEN, WHERE, WHY, and HOW?

Let’s break it down.

STEP 1: The FIRST step is to determine your OBJECTIVE / PURPOSE for your system.

What do you want to achieve? Write it down.

STEP 2: What would a successful follow up system look like?

What would the experience look like for the PROSPECT?

What your exact system looks like would be unique to your business. It would include things like:

  • A spreadsheet to track it all, or you could use a CRM (customer relationship management software service).
  • A timeline of touchpoints (when to text, call, message, etc.) to track the follow-ups.
  • Call scripts, voicemail scripts, text message scripts, etc.
  • WHO is responsible for the follow-up?
  • What happens after the prospect buys, doesn’t buy, or you don’t get ahold of them?

STEP 3: Time to get to work and BUILD the system based on your answers.

You want to make sure to cover the who, what, when, where, why, and HOW.

DOCUMENT EVERYTHING. Listing everything out step-by-step. There are no details too small – including links, passwords, how-to screenshots, and videos.

Basically, if a 10-year-old reads through your follow-up system, they should know EXACTLY how to go through each step of the process.

(TIP: If you’re in my Content Club, you’ve already gotten a glimpse into my own system documentation at work – everything is spelled out for you so there’s no guesswork!)

STEP 4: Once you’ve drafted up your initial flow, it’s time to test and streamline your system so you can see what works and what doesn’t.

This is where the REAL magic happens!

Once you start really tracking, you’ll be able to pinpoint specific problems if there are any! It’s all about fine-tuning and course-correcting as you go.

And here’s something super important to remember…

When you’re finished creating your system and you’ve put it in action …

You CANNOT just set your systems and forget them. Which brings me to:

STEP 5: Perform REGULAR system check-ups!

You MUST revisit your systems (at least 1-2x a year) to make sure they’re still effective and are getting the results you want.

As your business grows and changes, so will your systems!

Whew … that was a lot to cover.

How are we doing so far? Is this helpful?

Just to recap. Here’s your system-setting checklist:

  • Determine your objective / purpose for the system.
  • What does SUCCESS look like?
  • Build the system + document EVERYTHING! (who, what, when, where, why, and HOW)
  • Test and streamline your system.
  • Perform regular system check-ups and maintenance.

SYSTEMS = FREEDOM.
